Event planning in Derbyshire: Our Guide

Vineyard

If you’ve ever tried planning an event in Derbyshire, you’ll know the fun part is usually the big ideas. The theme, the food, the music, the slightly ambitious Pinterest board that you’re convinced you’re going to pull off.

Then comes the less exciting bit… Working out how it’s all actually going to work.

We’ve hosted and will be hosting a pretty ridiculous variety of events here at Sealwood over this year and next alone, from our own wine and cheese evenings to weddings, parties, markets, campervan gatherings and everything in between. That’s one of our favourite things about having an event space. You never quite know what someone is going to come up with next.

So, if you’re thinking about planning an event in Derbyshire, where do you actually start?

Before you fall down a three-hour rabbit hole of venue websites, it’s worth working out what you actually want your event to be. A wedding needs very different things to a corporate event. A birthday party is going to look pretty different from a festival, and a tasting for 30 people has very different requirements to a celebration for 120.

You don’t need every single detail figured out before you start looking. In fact, please don’t. But having a rough idea of your guest numbers, the sort of atmosphere you want and what you’d actually like people to do while they’re there will make the whole process much easier.

And if your idea is slightly unusual? Even better!

How many people are you inviting?

This sounds obvious, but guest numbers can completely change the kind of venue you need.

It isn’t just about whether everyone technically fits in a room. You need to think about tables, chairs, food, bars, entertainment, dancing and, perhaps most importantly, whether everyone can actually move around without constantly bumping into each other.

Here at Sealwood, our marquee can seat around 80 people, with space for roughly 120 standing guests. We also have a mixture of seating options, including circular tables and our wooden grand tables, which can be arranged differently depending on what you’re planning.

What actually comes with the event venue?

This is one of those things that can save you a lot of faffing later.

When you’re comparing event venues, find out exactly what you’re getting for your hire fee. Are tables and chairs included? Is there a bar? Can you bring your own caterer? What about music and entertainment? How early can you arrive to set up, and how long do you have afterwards to clear everything away? And then there’s the big one in Derby – what happens if it rains?

You don’t necessarily need a venue that provides absolutely everything. You just need to know what is already there and what you’ll need to organise yourself.

Think about how you want it to feel

This is something that can get overlooked when people are choosing a venue. You can have two venues with roughly the same capacity and facilities, but they can feel completely different.

Do you want something formal and polished? Relaxed and rustic? Somewhere people can properly switch off for the afternoon? Somewhere that feels a bit more like an experience than simply a room you’ve hired for a few hours?

That’s one of the things we love about having a vineyard as an event space. The vines, the countryside, the outdoor spaces and the setting all get to become part of the event.

What happens when the party ends?

Something else that’s surprisingly easy to forget when you’re planning an event is where everyone is actually going afterwards.

If your guests are travelling from further away, accommodation can make a huge difference to how the evening goes. Particularly if your event involves a few glasses of wine, which, depending on the event, ours often do.

At Sealwood, we have our holiday cottage on site, as well as camping and campervan options for certain events. For some of the events we’ve hosted, being able to stay on-site has turned what could have been an evening into a whole weekend.

Don’t be afraid to ask, could we do this here

One of our favourite things about hosting events is seeing people come to us with ideas that aren’t necessarily the standard “hire a venue, put out some chairs and hope for the best” approach. If you’re searching for an event venue in Derbyshire, it’s worth looking beyond traditional function rooms. Farms, vineyards, barns and outdoor spaces can give an event a completely different feel and it’s always an amazing thing to support local farmers and agriculture.

So, what actually makes a good event venue?

Ultimately, the best event venue in Derbyshire isn’t necessarily the biggest, fanciest or most expensive one. It’s the one that actually works for what you’re trying to do. That’s probably why we enjoy events so much at Sealwood. There isn’t really a standard “Sealwood event”.

One weekend we might be pouring wine for a tasting. The next, we’re setting up tables for a music event. Then we might be getting the events field ready for something completely different. It’s what keeps us excited.
